Food Pantry Software Pricing in 2026: What Each System Costs
Short answer: for one pantry, published starting prices run from $20 a month (one Oasis Insight user) to $125 a month (PantrySoft Deluxe), before add-ons and one-time fees. What decides the real cost is how each vendor charges: per user, per location, by household count, or by quote, and what is sold as an add-on. And before you buy anything, ask your food bank: some provide a system to partner agencies at no cost.

Worked examples
These use only each vendor’s published prices. Where a vendor quotes on request, the example says so instead of guessing.
One pantry, five volunteers who each need a login
- PantryPOS: $39/month (users are unlimited).
- Oasis Insight: from $100/month at its per-user rate (5 × $20), or ask for its simultaneous-user pricing, which is not published.
- FoodBank Manager: $34.95/month for intake and reporting (unlimited logins), or $84.95 with inventory/POS and the guest portal.
- PantrySoft: $50–$125/month depending on households served. Logins are unlimited; what counts is how many are signed in at once (1 on Light, 2 on Standard, 3 on Deluxe, $15/month for each extra). It also lists one-time implementation packages from $500.
Three locations, each with inventory
- PantryPOS: $97/month ($39 + $29 + $29).
- FoodBank Manager: $234.95/month with inventory and online ordering at all three (its own pricing example).
A food bank network of ten partner sites
- PantryPOS: $300/month, about $30 a site, with roll-up reporting across sites.
- Link2Feed: prices not published; all packages require an annual contract and a one-time implementation fee, with enterprise pricing for multi-site organizations. Many food banks license it for their whole network: the Regional Food Bank of Oklahoma says it is available to all its partners at no cost.
Costs that are easy to miss
- Per-user pricing grows with your volunteer roster. At Oasis Insight’s published per-user rate, 15 volunteers each signing in means 15 users; ask about its simultaneous-user option. PantrySoft counts users signed in at the same time instead.
- Add-ons per location. FoodBank Manager sells inventory/POS and its guest portal per location; PantrySoft sells its client portal, advanced inventory and volunteer platform by tier and adds 50% per added location.
- One-time setup or implementation fees. PantrySoft lists packages from $500 to $5,000; Link2Feed requires one but does not publish the amount.
- TEFAP records. If you distribute USDA Foods, check whether eligibility declarations, signatures and State reports are included. In PantryPOS they are included at every tier — see the TEFAP records a pantry must keep.
- Data migration. Ask whether the vendor imports your existing client list. PantrySoft says data migration typically costs $1,500; FoodBank Manager says its team can help import your data. PantryPOS will import it for you from any spreadsheet or export, at no charge.
When a pricier or different system is the better buy
- Your food bank provides or requires one. If it gives you Link2Feed or another system at no cost, or your State requires it for TEFAP, keep it.
- You only need intake and reporting. Oasis Insight from $20 a month for a single user, or FoodBank Manager at $34.95 for one location without inventory or the guest portal, costs less than PantryPOS.
- Client self-service matters most. PantrySoft’s client portal add-on (online registration, booking and choice shopping in over 30 languages) and kiosk self check-in may be worth its higher price.
Questions pantries ask
How much does food pantry software cost?
Published starting prices in 2026 run from $20 to $125 a month for a single pantry, before add-ons and one-time fees. Oasis Insight starts at $20 per user per month, FoodBank Manager at $34.95 for one location with unlimited logins, PantryPOS at $39 for the first location with unlimited users, and PantrySoft at $50 to $125 a month by household count, with implementation packages listed from $500. Link2Feed does not publish prices; it requires an annual contract and a one-time implementation fee.
Is there free food pantry software?
None of these five lists a free plan; most offer a free trial instead: PantryPOS and FoodBank Manager give 30 days, Oasis Insight 14 days, all without a card. Some food banks provide a client-tracking system to their partner agencies at no cost (the Regional Food Bank of Oklahoma, for example, provides Link2Feed), so ask your food bank first.
Does pantry software pricing include TEFAP records?
It depends on the vendor. In PantryPOS the TEFAP eligibility declarations, signed distribution log and State reports are included at every tier, with no add-on.
