Food Pantry Software Cost Comparison: the First-Year Price for One Site, 300 Households and 10 Users
Short answer, for one pantry site with about 300 households and 10 staff and volunteers who log in:
- $0 — Feeding America’s Service Insights on MealConnect, if your food bank provides it, and Plentiful (free for food pantries).
- $108 — Full’s Growth tier (in limited beta; check-in and basic reports).
- $468 — PantryPOS, $39 a month with unlimited users and no setup fee.
- $1,100 to $1,900 — PantrySoft Light or Standard, including the one-time implementation fee.
- $2,160 to $2,400 — CharityTracker Basic and Oasis Insight, which charge per user.
- Quote only — Link2Feed (annual contract plus an implementation fee).
Ask your food bank first. If it provides Service Insights, Link2Feed or another tool to partner agencies, that may be required by your partner agreement, and it costs you nothing. See does my food bank require Service Insights or Link2Feed? Already on one of them? PantryPOS runs alongside it for inventory, recalls, cold chain and TEFAP stock by lot.
First-year cost, side by side
Assumptions: one site, about 300 active households, 10 people with logins, a year of monthly billing unless a yearly price is published, plus any one-time setup fee the vendor publishes. Add-ons (SMS, client portal, extra inventory modules, data migration) are left out unless noted.

What the price does not tell you
- Per user or per site. Oasis Insight and CharityTracker charge for every person who logs in, so the price grows with your volunteer list. PantrySoft limits simultaneous logins (1 on Light, 2 on Standard; $15/month for each added one). PantryPOS charges per location with unlimited logins.
- Setup fees. PantrySoft publishes a one-time implementation fee ($500 basic, $1,000 standard) and says a data migration typically costs about $1,500. Link2Feed requires an implementation fee and an annual contract. PantryPOS and the per-user tools publish no setup fee.
- Scope. Intake-and-reporting tools (Oasis Insight, CharityTracker, Service Insights) record who came. PantryPOS also runs the food side: client-choice checkout, FIFO inventory with expiry warnings, recall tracing to households, temperature logs and an offline register.
- Network-wide duplicate checks. Service Insights and Link2Feed check a household once across every agency in the network. PantryPOS checks for duplicates within your own pantry (name and phone, before registering) and gives food banks a network export; it does not match households across other agencies’ systems.
- Track record. PantryPOS is new. It has no published customer reviews yet, and its trial is the honest way to judge it. Oasis Insight, Link2Feed and Service Insights have years of use across food bank networks.
Which to choose
Your food bank provides a tool: use it, and add PantryPOS only if you need what it leaves out (inventory, recalls, temperature logs, TEFAP stock by lot).
One person does all the intake: a per-user tool at $20 a month is cheaper than PantryPOS.
Several volunteers log in, and you choose your own software: of the paid tools in this table that include inventory, PantryPOS has the lowest first-year price, $468, and it does not charge per user.
