Pickups and deliveries this month

One row per pickup or drop-off, in pounds. Pick the generator from your contacts (add it above first). The monthly total per generator is what §18991.5 requires; per-pickup rows are how you get it right.

What the regulation asks for

14 CCR §18991.5(a) applies to a food recovery organization or service “that has established a contract or written agreement to collect or receive edible food directly from commercial edible food generators.”

Food type, tier, “agreement on file” and initials are optional extras, not state requirements. The regulation does not state a retention period; your jurisdiction may. Full explanation and sources: SB 1383 food recovery recordkeeping; what the generator agreement covers: edible food recovery agreements. CalRecycle also offers an optional Excel recordkeeping tool.

When a monthly sheet stops being enough

Paper and spreadsheets work until there are a dozen stores and a year of pickups to total. PantryPOS keeps your donors (name, address, phone, email) and logs every pickup on its Receive screen by donor and weight, with category and delivery temperature, then exports any month or year of receiving as a CSV you can total by donor. It does not file the SB 1383 report for you. $39 a month per location, free 30-day trial, no card. Start a free trial
