Tips that make a drive bring in what you need
- Be specific. “Peanut butter and canned chicken” brings in peanut butter and canned chicken; “non-perishables” brings in whatever was at the back of the cupboard.
- Check with the receiving pantry first, including what it cannot take and when it can accept a delivery.
- Weigh it when it arrives. Pounds collected is the number your donors and your food bank will ask for, and it is what lets you thank a school or church with a real figure.
- Thank the donors in writing. A drive host or a business may want an acknowledgment: the free donation receipt template describes the food without putting a value on it.
Shelving it all afterwards? The free food pantry inventory spreadsheet has a received log with a “food drive” source.
Counting the drive without the clipboard
PantryPOS logs every donation as it comes in, with the donor and “food drive” as the source, the category and the pounds, so the drive total is in the reports when it ends, and donors can get a year-end acknowledgment letter that describes their gifts without a dollar value. $39 a month for the first site, free 30-day trial, no card.
